Your information, handled like we'd want ours
Privacy policy and how we handle your information
We're an air-conditioning company, so we collect what it takes to show up at the right address, fix the right equipment and get paid. We don't sell any of it, and this page explains exactly what we keep and why.

What this covers
Cloud 9 AC Services is the trade name of Cloud 9 A/C Services LLC, a Florida company in Winter Garden. This policy explains what we collect when you use this website, send us a request, book a job, sign in to My Equipment, pay an invoice, or get a text or an email from us. It also explains what we do with that information.
The short version: we collect what we need to do the work and bill for it. We don't collect anything to sell, and we don't sell anything we collect.
What we collect
When you send a request. The Request Service form asks for your name, phone number, email address, the service address, whether it's a home or a business (and the business name if it is), what you need, a description of the problem, a preferred day or time, and whether it's an emergency. When you submit it we also record the page you sent it from, the time, your IP address and your browser type. That's how we tell a real request from a bot.
When you call. We keep notes in your service record of what you told us, such as the address, the symptoms and what we agreed. We don't record the phone calls themselves.
When we do the work. Your service record holds the equipment at your address (make, model, serial number, age), what we found, what we did, the parts we used, photos of the equipment our technicians take on site, and every quote and invoice. That's the record My Equipment shows you.
When you pay. The invoice link opens a payment page run by our payment platform, and that page is where you type your card or bank details. We see that you paid, how much and when. We never see or store a full card number.
When you sign in. My Equipment needs an email address and a sign-in, either a password or a one-time code sent to your phone or email. That's how it shows you your own equipment and nobody else's.
When you ask for texts. We keep your mobile number and a record of the consent itself, including the date, the time and how you gave it. That way we can show, if asked, that you asked for the messages.
This website, cookies and analytics
This site is a set of static pages served by Cloudflare. It sets no cookies of its own and runs no advertising trackers or social-media pixels. We use Google Analytics to count visits and see which pages people read; it sets its own cookies, and blocking it changes nothing about how the site works. Cloudflare may set operational cookies for security and performance, under its own policy.
My Equipment is a signed-in service, so it sets the cookies a sign-in needs. Those cookies are functional only, and nothing there is used for advertising or profiling.
How we use it
Everything we collect is used for the job in front of us:
- to answer your request and agree a time (you hear back within the hour);
- to arrive with the right parts for the equipment on file;
- to write your quote, your invoice and your receipt;
- to confirm the appointment, tell you the technician is on the way, and let you know when a quote or invoice is ready;
- to remind you when a maintenance-plan visit is due;
- to answer the question "what did you do last time?" from your service record;
- to pull a permit when the work needs one, and to register a new system with its manufacturer when you ask us to.
We don't add you to a marketing list because you asked a question, and we don't send a newsletter.
Who else sees it
We keep this list short on purpose. These are the companies that handle information on our behalf:
- Fusion Payments runs our service software: My Equipment, quoting, invoicing, the payment page, and the texting and email described below. Your service record lives on their platform.
- Fiserv is the card processor behind the payment page. It handles the card details you type, so we never handle them ourselves.
- Twilio delivers our texts.
- SendGrid delivers our emails.
- Cloudflare hosts this website and protects it from attack.
- Google provides Google Analytics on this site, and Google Maps where a page shows a map.
Each of them uses your information only to do that job for us, under contract, and none of them may use it for their own purposes. Beyond that list: a permit application tells the county or city the address and the work; registering a new system with its manufacturer tells the manufacturer your name, the installation address and the date; and we hand over information when the law requires it. Nobody outside this list sees your information. We don't sell or rent personal information, and we don't give it to data brokers or advertisers.
Texts from us
We text for customer care, not marketing: a confirmation when a job is booked, a heads-up when the technician is on the way, a note when a quote or an invoice is ready, a receipt when you've paid, and replies to a request you sent us. Messages come from our business number and are delivered through Twilio.
You opt in by checking the texting box on the Request Service form — it isn't pre-checked — by telling us on the phone or in person that you'd like texts when we book your job, or by texting START to our number. Agreeing to texts is never a condition of hiring us. We don't buy phone numbers, and we don't text anyone who didn't ask.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the categories of sharing described in this policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. Your number goes only to the companies that deliver the message for us — our messaging provider and the mobile carriers — and only so the message can be delivered.
Message frequency varies with your job. Message and data rates may apply. Reply STOP to any message to stop; you'll get one confirmation and nothing further. Reply HELP for help, or call us at (407) 558-0461. Delivery depends on your mobile carrier and isn't guaranteed, and carriers aren't liable for delayed or undelivered messages. The full messaging terms are in our Terms of service.
Email from us
Email is for the job: your quote, your invoice, your receipt, an appointment confirmation, and replies to anything you sent us. Our emails are delivered through SendGrid. If we ever send something that isn't about your job, it'll carry an unsubscribe link, and we'll honour it.
Payment card data
This website doesn't take payments itself. When you pay an invoice online, the page that takes your card or bank details belongs to our payment platform, Fusion Payments, and its processor, Fiserv, and it's built to the Payment Card Industry Data Security Standard. Fusion Payments and Fiserv hold the card numbers themselves. Cloud 9 A/C Services LLC doesn't store full card numbers on its own systems, and this website has no access to them.
How we protect it
Traffic to this site and to My Equipment is encrypted in transit. Your service record sits on our service platform behind a sign-in, and the people who can see it are the people who do the work and the person who sends the invoice. No system is perfectly secure and we won't claim ours is. If information you gave us is ever compromised, we'll tell you.
How long we keep it
Your service record is kept as long as you're a customer, and for as long as the equipment it describes is likely to still be at the address. A maintenance history is only useful if it's complete. Quotes and invoices are kept for as long as Florida tax and business rules require. A request that never became a job is kept long enough to follow up, and after that it's just a record of the conversation.
You can ask us to delete what we hold about you at any time. We'll do it, except for anything we're required to keep (an invoice, for instance), and we'll tell you which part that is.
Your choices
Reply STOP to any of our texts to end them. Use the unsubscribe link in any email that carries one, or just tell us. To see, correct or delete what we hold about you, call (407) 558-0461 or email [email protected], and we'll tell you when it's done.
Children
This site is for people who own or look after a property. It isn't directed to children under 13, and we don't knowingly collect information from them.
Changes
If this policy changes, the date at the top changes with it. A real change, such as a new provider or a new use, will be explained plainly on this page where you can see it.
